The Advent Communications Calendar You Can Steal

Advent starts November 29. Christmas Eve is a Thursday. Between those two dates, someone will ask you for bulletin copy, slides, an email, a social graphic, and a livestream link, probably on the same afternoon.

Most church communicators do this work alongside a full plate of other duties. So this post isn’t about doing more. It’s a calendar you can copy this week, so December stops arriving as a surprise.

Plan backward from Christmas Eve

Christmas Eve is the biggest invitation moment of your year. That makes the promotion window more important than the service itself. If a first-time guest doesn’t hear about it until December 22, they’ve probably already made other plans.

Before you build anything, ask one honest question: what went sideways last December? A late graphic? A wrong service time on the website? A livestream link nobody could find? Write it down. Your calendar should prevent that first.

The calendar, week by week

By mid-November

  • Confirm service times and locations with your pastor or worship team.
  • Choose your Advent theme weeks. The traditional four are hope, peace, joy, and love.
  • Design the graphic set: one template, four color or scripture variations.
  • Draft the first three emails.

Thanksgiving week

  • Schedule Week 1 content so you can actually enjoy the holiday.
  • Publish the Christmas Eve event page.
  • Update your Google Business Profile with holiday hours.

Advent Week 1 (starts November 29)

  • Launch your devotional or theme series.
  • Post a plain-language “What is Advent?” explainer for newcomers and families.
  • Send the first Christmas Eve invitation.

Advent Week 2 (starts December 6)

  • Promote your Blue Christmas or Longest Night service, if you hold one.
  • Share a volunteer or ministry story.

Advent Week 3 (starts December 13)

  • Send a “what to expect” email covering parking, kids’ options, and how long the service runs.
  • Ask members to invite one friend. Give them a text message they can copy.

Advent Week 4 and Christmas Eve (starts December 20)

  • Send final reminders and confirm the livestream link.
  • Check signage and directions.
  • Schedule the day-of social post.

Christmas Day through Epiphany (January 6)

  • Thank your volunteers.
  • Share a photo recap.
  • Tell people what’s next in January and how to stay connected.

One idea, many channels

You don’t need twenty pieces of original content. You need one good idea per week, used well.

Take Week 1, Hope. Choose one scripture and one short reflection. That single idea becomes:

  • A 150-word devotional email
  • A social post with the scripture on your graphic
  • A slide for the worship screens
  • A two-line bulletin insert
  • A banner on your website homepage

That’s five pieces of content from one idea. Repeat for peace, joy, and love, and your Advent content is done.

What to hand off

If you’re on a small staff, or you are the staff, some of this can belong to someone else. Good candidates:

  • Collecting photos from Advent events
  • Checking event page details a week before each service
  • Confirming signage and parking volunteers
  • Scheduling social posts once you’ve written them

Handing tasks off doesn’t mean the plan is falling apart. It means the plan is working.

What to leave flexible

Weather changes. People get sick. A pastor adds a service. Leave two open slots each week for the things you can’t predict. If nothing comes up, you get a small gift of time.

Before you start

Pick one week from this calendar and finish it before you touch the rest. Then ask yourself: what would make Christmas Eve feel easier for your team this year? Who in your congregation could take one small task off your list?

Somewhere on December 24, a guest is going to walk through your door because an invitation reached them at the right moment. The calendar is how you make that moment happen.
